What the calendar is for

The calendar in WaffleInvoice is built for businesses that bill around specific events or dates - photographers, videographers, caterers, DJs, event planners, and contractors. It shows upcoming events pulled from the date fields on your invoices, so you always know what's coming up.

Adding a date field to an invoice

When creating or editing an invoice, you can add one or more event dates:

  1. 1

Open a new or existing invoice.

  2. 2

Look for the "Event date" or date field in the invoice editor.

  3. 3

Enter the date of the event or scheduled work.

  4. 4

Save the invoice. The event will appear on your calendar.

Event dates are separate from invoice due dates. The event date is when the work happens; the due date is when payment is expected.

Viewing the calendar

The calendar view is accessible from the Dashboard or the Calendar link in the sidebar. It shows:

  • All upcoming events from invoices with event dates.

  • Each event is linked to its invoice - click an event to open the invoice directly.

  • Events are color-coded by invoice status (Paid, Not Paid, Overdue, etc.).

  • Monthly and weekly views are available.

Dashboard upcoming events

The Dashboard also shows a list of upcoming events in the next 30 days, alongside your revenue chart. This gives you a quick overview of what's booked and whether the associated invoices have been paid.

Why this helps event businesses

For event-based businesses, the calendar connects your booking schedule to your billing. You can see at a glance which upcoming events have been invoiced, which are paid, and which still need attention - all without switching to a separate calendar app.
