At a glance
WaffleInvoice has two plans: Free and Pro ($19/month or $190/year). The free plan is permanent — no trial — and is built so you can run a real business on it indefinitely if email sending is light and you collect payment manually.
Free plan
Unlimited invoice creation — no cap on how many invoices, estimates, or clients you can build.
Email invoicing — up to 25 invoice emails per rolling 30-day window. Brand-new accounts (under 14 days old) also have a 5-emails-per-24-hours cap.
Client portal access — share a link, clients view and download their invoices.
PDF download.
Manual payment tracking (cash, check, bank transfer).
Customer tags and saved services.
Basic dashboard.
A card is required on file before your first email send (free to add, never charged).
Pro plan
Everything in Free, plus:
Unlimited invoice email sending — the 25/month and 5/day caps are removed.
Online payment collection — ACH and card payments via Stripe, directly on the invoice page.
SMS notifications — invoice delivery SMS, on-my-way SMS, and SMS reminders.
Recurring invoices and installment plans.
Automatic payment reminders (before, on, and after the due date) and configurable late fees.
Branding removal — your invoices and portal pages drop the WaffleInvoice footer.
Multi-user (team members) with role-based access.
API access for custom integrations.
Time tracking with billable rates.
Advanced reporting (revenue, aged receivables, lifetime value).
Status board, auto estimate follow-ups, Google review requests, custom invoice templates.
You can build an entire client base, draft invoices, share portal links, and collect manual payments on the free plan forever. The Pro upgrade is for when online payment collection, SMS, recurring billing, or sending more than ~25 invoices a month becomes part of your routine.
What never has a cap on either plan
Invoice creation.
Estimate creation.
Client count.
