Estimate Follow-Ups

Follow up on pending estimates automatically or manually in WaffleInvoice, so quotes awaiting client approval do not go cold and you win more work.

Why follow-ups matter

Most clients who do not respond to an estimate immediately are not saying no. They forgot, got busy, or assumed you would follow up. A timely follow-up significantly increases the chance of approval without requiring you to remember to do it manually.

Auto follow-ups (Pro)

When auto follow-ups are enabled, WaffleInvoice automatically sends a follow-up email to the client after a set number of days with no response.

    Go to Settings in the left sidebar.

    Click the Invoicing or Automation tab.

  3. 3

    Find the Estimate Follow-ups section.

  4. 4

    Toggle on auto follow-ups.

  5. 5

    If you are on the free plan, you will see an upgrade prompt.

    Save your settings.

Auto follow-ups only fire once per estimate. If the client still has not responded after the follow-up, use the manual follow-up button to send a second message.

Manual follow-up

You can send a follow-up on any estimate at any time, regardless of plan.

    Open an estimate that is awaiting approval.

  2. 2

    Find the "Send follow-up now" button on the estimate detail page.

  3. 3

    Click it. The follow-up email is sent immediately.

Follow-up status badge

On the estimate detail page, a badge shows whether a follow-up has been sent and when. For example, "Follow-up 1 sent 2 days ago" lets you see at a glance whether any follow-up action has already been taken without digging through sent emails.
