What to put on a cash receipt

Cash is the one payment type with no bank record behind it, so the receipt is the record. Put your business name and contact details at the top, the customer name if you have it, a receipt number, the date, an itemized list of what they paid for, and the total. Mark the method as cash and note that it was paid in full. If you ever get audited or a customer comes back wanting a refund, that numbered receipt is what backs you up.

What a receipt usually lists

A cash receipt itemizes whatever changed hands. Common lines include:

  • Each product or service, listed on its own line
  • Quantity and unit price, so the math is obvious
  • Sales tax, if you collect it
  • A discount, shown as a negative line
  • The total, marked paid in cash

When to give a receipt

Hand over the receipt at the moment of sale. For a business taking walk-in cash, a receipt protects both sides: the customer has proof of purchase for a return, and you have a dated record of the sale for your books. Keep your copy, because reconstructing cash sales at tax time from memory is a bad afternoon.

Storing and sending receipts

A handwritten cash receipt on a carbon pad works, but it looks like 1994 and the customer cannot do anything with the carbon copy. A clean PDF with your business name on it reads as professional and is easy to email if they ask for one later. If you take cash often, a free WaffleInvoice account lets you log the sale, issue the receipt, and keep a running record without a shoebox.

Do this automatically

WaffleInvoice is free for unlimited receipts.

Stop retyping the same details. WaffleInvoice remembers your customers, issues a receipt the moment an invoice is paid, accepts online payments, and tracks it all from one free account.

Free Cash Receipt Template FAQs

What is a cash receipt?

A cash receipt is written proof that a customer paid you in cash. It lists what they bought, the amount, the date, and confirms the payment was received in full.

Do I need to give a receipt for a cash payment?

You are not always legally required to, but it is good practice. Cash leaves no bank trail, so the receipt is the only record of the sale for both you and the customer.

What is the difference between a cash receipt and an invoice?

An invoice asks for payment before it happens. A cash receipt confirms a payment that already happened. You hand a cash receipt over after the customer pays.

Can I add sales tax to this receipt?

Yes. Enter your tax rate in the tax field and it is added to the subtotal automatically, with the total shown as paid.
