What goes on a receipt

Every receipt answers the same question: who paid, how much, for what, and when. Put your business name and contact details at the top, the customer, a receipt number, the date, an itemized list, and the total marked paid. The receipt number is the part people skip and then regret, because it is how you find a specific payment six months later when someone disputes it.

Receipt vs invoice

These get mixed up constantly. An invoice requests payment before it happens. A receipt confirms a payment that already happened. You send an invoice to ask for money and hand over a receipt once you have it. If you need to ask for payment, use the free invoice generator instead.

When you should issue one

Always issue a receipt for cash, since it is the only record either side has. For card, check, and transfer it is optional but cleaner, because your receipt confirms what the payment was actually for in a way a bank line item never will. Landlords and nonprofits have extra rules: some states require rent receipts, and the IRS requires a written acknowledgment for any single donation of 250 dollars or more.
