💼 Free Consulting Invoice Template
Consulting invoices need to do something a generic template cannot: communicate the value of work that is hours, ideas, and deliverables rather than a tangible product. Use this free consulting invoice template to bill hourly engagements, fixed scope projects, and monthly retainers with the clarity that gets approved on the first AP cycle.
No credit card required. Free forever for unlimited invoices.
What to include
A strong consulting invoice ties hours and dollars to deliverables and outcomes the client recognizes. Vague invoices sit in approval queues. Specific ones get paid.
🎯
A one line summary of the engagement (for example, "Q2 GTM strategy review"). This anchors the invoice to the SOW the client signed.
⏱️
For hourly, list date, activity, hours, and rate. For fixed fee, reference the milestone or deliverable being billed.
📦
Reference the specific document, workshop, or session being invoiced. "Strategy memo delivered Apr 12" sails through approval.
💸
Travel, software, third party research. Itemize separately from fees and attach receipts as needed.
📅
Net 15 is fast, Net 30 is standard, Net 45 means you are financing your client. Set the term, then set a late fee for overage.
🔁
For monthly retainers, note the month covered and the included scope (for example, "8 hours of strategic advisory, April 2026").
Pro tips
Bill on Net 15 by default. Enterprise clients will push to Net 30, but most boutique and mid market clients accept Net 15 if it is on the SOW from day one.
Invoice on the 1st and the 15th, not on completion. Predictable cadence trains your client AP team to expect and process you on a schedule.
For multi month projects, bill in progress (for example, 33% at kickoff, 33% at midpoint, 34% at delivery). Never let receivables exceed one milestone.
List deliverables shipped that period in the line item description. AP will not approve "consulting services rendered" without context, but they approve "Strategy memo delivered Apr 12, 2026" instantly.
Add a 1.5% per month late fee on any invoice past 30 days overdue. Spell it out in the SOW so it is enforceable, not just decorative.
FAQs
Fixed fee for well scoped deliverables (a strategy doc, a workshop, a website audit). Hourly for ongoing advisory or work where scope can shift. Retainer for predictable monthly access.
Net 15 if your client base accepts it (boutique and mid market usually does). Net 30 is enterprise standard. Anything beyond Net 30 means you are financing your client at zero interest.
Write a one line scope on every invoice tied to the SOW. When work goes beyond it, send a separate change order invoice with new scope, rather than quietly absorbing it.
