Receipt Template vs Invoice: What Changes After Payment

A receipt template is a reusable form that confirms a payment has already been made. It records who paid, who received the money, the date, the amount, the method, and any balance left.

A receipt template is a form that proves a payment already happened, so it needs the date received, the amount paid, the payment method, and the balance left. An invoice asks for money and carries a due date. Send an invoice before you are paid and a receipt after, and when the customer pays on the spot, a receipt alone is enough.

Below is what moves between the two documents, a receipt filled in for a cash plumbing job, and a rule for choosing.

What does a receipt template have that an invoice doesn't?

A receipt template adds the facts of the payment itself: the date the money arrived, how it arrived, the amount actually received, and what is still owed. An invoice leaves those blank because they haven't happened yet. It carries instead a due date, payment terms, and instructions for paying.

Where an invoice and a receipt differ
FieldInvoiceReceipt
PurposeAsks for paymentConfirms payment
NumberInvoice numberReceipt number, plus the invoice it pays when one exists
DatesIssue date and due dateDate the payment was received
AmountTotal dueAmount paid, and balance remaining
Payment detailsHow to pay, late termsMethod used: cash, check, card, transfer
StatusUnpaid or overduePaid in full, or partly paid

The line items, the business details, and the customer's name carry over unchanged. That is why a good receipt template looks like your invoice template with the due date swapped for a payment date and method.

What should a free receipt template include?

A free receipt template should include seven things: a receipt number, the payment date, both parties' names, an itemized description, the amount paid, the payment method, and a paid-in-full or balance line. Leave one out and the receipt is weaker proof.

The IRS tells small businesses to keep supporting documents that show the amounts and sources of their gross receipts. Its list of acceptable documents names both receipt books and invoices, which means either one can serve as your record, as long as it shows the amount and who it came from. The IRS page is about your own books, so a customer who wants a receipt for their records is a separate matter.

Two habits make the template more useful. Number receipts in sequence, so a gap shows up when you reconcile at the end of the month. And when the payment settles an invoice, write that invoice number on the receipt so the two documents can be matched later. The free receipt templates cover cash, rent, sales, and donation versions of this layout.

What does a filled-in receipt for a cash job look like?

A filled-in cash receipt for a service job lists the work, the total, the word "Cash," and the date, with a zero balance. Take a plumber who replaces a kitchen faucet for a homeowner and is paid in cash at the door. All names and numbers below are made up for the example.

Worked example: receipt R-0007, paid in cash
DescriptionQtyRateAmount
Labor, faucet replacement1$100.00$100.00
Faucet and supply lines1$50.00$50.00
Total received$150.00

Receipt R-0007 is dated November 8, 2026, from Harbor Lane Plumbing to Mia Torres, payment method Cash, balance $0.00, marked "Paid in full." The two amounts come from the line items in WaffleInvoice's tracked simple receipt template, which uses $100.00 and $50.00 and shows a $150.00 total and amount paid. So the check is 100 + 50 = 150. Those figures are template defaults used to illustrate the layout, not a real customer's bill.

Because no invoice was sent first, the receipt carries the whole transaction. If the job had been invoiced, R-0007 would also say "Payment for invoice HLP-0112" so the two records connect. For the longer field-by-field version of a cash receipt, including a part-payment case, see how to write a receipt for a cash payment.

When should you send a receipt instead of an invoice?

Send a receipt instead of an invoice when the customer pays at the moment of sale, because there is nothing left to request. Send an invoice first when you are paid later, and follow it with a receipt once the money lands.

  • Paid on the spot by cash, card, or tap: a receipt is enough. A separate invoice would just list a balance of zero.
  • Paid after the work on net 15, net 30, or due on receipt: invoice first, receipt when payment clears.
  • Deposit now, balance later: receipt for the deposit, invoice for the full job showing the deposit credited, receipt for the balance.
  • Customer asks for "proof of payment": that means a receipt, even if you already sent an invoice. A paid invoice marked "Paid" can stand in, but a receipt says it more plainly.

If you bill by invoice, our free invoice template is the starting point, and you can reuse its line items on the receipt. Freelancers who mostly get paid by transfer after an invoice can see how that flow works in the invoicing guide for freelancers.

How long should you keep receipts and invoices?

You should keep receipts and invoices for at least as long as the tax return they support can be amended or assessed. The IRS says to keep records for 3 years if its longer-retention situations don't apply, and it defines that period of limitations as the time in which you can amend your return to claim a credit or refund, and in which the IRS can assess additional tax.

Treat three years as the minimum. Employment tax records, bad debt claims, and unfiled returns all run longer under the IRS page. A paper receipt book duplicate, a photo, or a PDF all work, provided you can find the record by number or customer name when you need it.

This post is general information, not tax or legal advice. Rules for receipts vary by state and country, and some places require specific wording or tax numbers on them.

Frequently Asked Questions

Quick answers to the questions readers ask most about this topic.

Is a receipt the same as an invoice?
No. An invoice requests payment and shows an amount due. A receipt confirms payment and shows the date, method, and amount received. The line items are usually the same on both.
What is a free receipt template used for?
It gives you a ready layout to confirm a payment: receipt number, date, payer, payee, items, amount paid, method, and balance. You fill it in, then print it or send it as a PDF.
Do I need to send an invoice if I already gave a receipt?
Not when the customer paid at the time of sale. The receipt is the record. If you would like a number in your invoice sequence for bookkeeping, you can still issue one marked paid.
Can an invoice marked paid work as a receipt?
Often yes, if it shows the payment date, amount, and method. Some customers and some accountants prefer a separate receipt, so ask if the payer needs one for expense reports.
