Simple Invoice Template: Clean, Professional, and Free

Use a simple invoice template that looks professional without the clutter. Includes all required fields, clean formatting, and a free download option.

The best invoices are simple. A client who can read your invoice at a glance, understand what they owe and by when, and pay it without questions is a client who pays on time. Complexity on an invoice creates friction, and friction creates delay.

This guide shows you what a simple invoice template looks like, what to include and what to leave out, and how to use one for free without any software.

What makes an invoice "simple"

A simple invoice is not a stripped-down invoice. It has all the required information: your contact details, the client's information, an invoice number, dates, line items, the total, and payment instructions. Simple means those elements are arranged clearly, with nothing extra competing for attention.

The opposite of a simple invoice is one cluttered with decorative borders, too many fonts, hard-to-find totals, or vague line items that require a follow-up email to clarify. Those invoices take longer to process and pay.

Here is the rule: every element on your invoice should be there because it helps the client pay you. If it does not serve that purpose, remove it.

Simple invoice template: the essential fields

A complete simple invoice has eight sections, arranged in a logical reading order:

1. Your business information (top of the page). Your name or business name, address, email, and phone. One clean block, left-aligned or right-aligned, not both.

2. The word "Invoice" in a clear heading. Sounds obvious. But invoices buried in a PDF attachment need to be unmistakably labeled at the top so the recipient immediately knows what they are looking at.

3. Invoice number and dates. Invoice number (sequential, starting wherever you like — not 001 which implies you have no other clients), the date you issued it, and the due date. Write the due date as an actual date ("July 15, 2026") not just "Net 30."

4. Bill To block. The client's name, company, and address. If you know the specific person who handles invoices, address it to them. "Accounts Payable" is impersonal but sometimes necessary.

5. Line items table. Description, quantity, rate, and amount for each service or product. Keep descriptions specific enough that the client knows what they bought. "Web design" is vague. "Homepage redesign: wireframes, 2 rounds of revisions, final design files" is clear.

6. Subtotal, taxes, and total. Show the arithmetic. If you charge tax, list it separately so the client can see how you arrived at the total. Make the final total the most visually prominent number on the page: larger font, bold, at the bottom right.

7. Payment terms. "Payment due July 15, 2026. Late payments are subject to a 1.5% monthly fee." Clear, specific, enforceable.

8. Payment instructions. Tell the client exactly how to pay. ACH routing and account number, Zelle handle, PayPal link, or check payable to whom and mailed where. This is the most commonly skipped field and the most important one after the total.

A simple invoice template example

Here is what a minimal, effective invoice looks like in practice. Imagine this as a white document with a clean table in the center:

That is it. No logo required (though it helps), no decorative borders, no multi-column layout. Clean, fast to read, easy to pay.

Where to get a free simple invoice template

You have a few options, depending on how you prefer to work:

In your browser, no signup. WaffleInvoice's free invoice tool gives you a browser-based form where you enter your business details, the client's information, and your line items. It generates a clean, professionally formatted PDF you can download in seconds. No account needed, no watermarks.

Microsoft Word or Google Docs. Both have free invoice templates. Search for "invoice" in the template gallery when creating a new document. The templates are basic but functional. Export as PDF before sending.

Google Sheets or Excel. A spreadsheet can produce a perfectly professional invoice. Create two rows for your contact info and the client's, then a table for line items with an =SUM() formula for the total. Export as PDF.

Keeping it simple when you have recurring clients

The simplest possible system for recurring invoicing is to keep a master invoice file for each client, update the invoice number and dates each billing cycle, and save a new PDF copy. This works up to about three or four recurring clients before the manual process starts to feel expensive in time.

When you hit that threshold, recurring invoice software handles the whole cycle automatically. WaffleInvoice's recurring invoices create and send the invoice on your schedule — weekly, biweekly, monthly — with no manual work. The client gets the invoice on the same day each period, which trains them to expect (and pay) it on time.

Simple invoice template for common trades

The same simple template structure works across virtually every service business. The line items change; the structure does not.

Plumber: Emergency call-out fee, labor hours, parts (list separately), total.

Graphic designer: Project phases or deliverables, flat rate or hourly, total.

Cleaning service: Service type (standard, deep clean, move-out), square footage or flat rate, any add-ons.

Consultant: Hours at rate, specific deliverables completed, expenses if applicable.

Photographer: Shoot duration, editing package, print or digital deliverable rights, total.

In every case: be specific enough that the client knows what they received, simple enough that they can read it in thirty seconds.

Frequently asked questions

What should a simple invoice include?

A simple invoice should include: your business name and contact info, the client's name and address, a unique invoice number, the issue date and due date, itemized line items with descriptions and amounts, the total, and payment instructions. Eight fields, all of them necessary.

How do I create a simple invoice for free?

Use WaffleInvoice's free invoice tool at /tools/invoice-template to build and download a professional invoice in your browser with no signup. Alternatively, download an invoice template for Word or Google Docs and export it as a PDF before sending.

What is the difference between an invoice and a receipt?

An invoice is a request for payment, sent before the client pays. A receipt is a confirmation of payment, sent after. They look similar but serve opposite purposes in the payment cycle.

How long should a simple invoice be?

One page is almost always enough. If you have many line items, two pages is acceptable, but the total should still appear on the first page so the client does not have to scroll or flip to find it. Keep descriptions concise: three to ten words per line item is usually sufficient.
